How does the service work?

Every time a new inquiry enters the system with a phone number, we will respond and call the inquiry. If a new inquiry comes in via text message, or via social media, we will then respond directly to their message. It's very important to respond on the channel that the inquiry used to contact us, as this is currently their chosen method of communication. Our goal is to nurture the relationship and to get them to book a tour.

How much of the inquiry process do you manage?

There are 3 major stages to the inquiry process:

1.) Manage the inquiry and get them to book a tour (Childcare Concierge)

2.) Carry out the tour of the facility (Your Team)

3.) Follow-up with the tour and get feedback and confirm the enrollment (Childcare Concierge)

The majority of the work involved is getting in contact with the inquiry and following up with them once they've toured. This is all handled by our team. Your team just need to complete the tour. However, some clients prefer to follow-up after the tour themselves. This is totally up to you.

Do you follow a script?

We personalize every script to you. Our team are all trained to an exceptional standard in showing empathy and understanding to potential inquiries. We then incorporate your style of language into the script. For example, you might have a slogan you want incorporating, or you may use the word 'children' instead of 'kids'. All this can be incorporated into your personalized script.

Do you give prices out on phone calls?

This is completely up to you as the client. Personally, we don't recommend you do this, as it's important for the inquiry to judge you based on their experience when they arrive for the tour. However, this is completely up to you and we will design the script in partnership with you.

How do you schedule tours?

There are a number of ways we can do this, but we typically tend to get access to your Google Calendar and select from the available time slots on there. The great thing with this is, if you already have another appointment booked in your calendar, or you are out for the day, it will have already been blocked off in your Google calendar, so our team will know to avoid that time. You can also set a maximum number of tours a day, along with stipulating the exact times you want the tours to happen.

What hours do you cover?

Our team is flexible, but we typically work 10.30am - 8pm EST. We have found that parents are not usually responding early in the morning, so we push back our start time, which allows us to respond to parents later in the evening when they are more active and available.

How much does the service cost?

We manage your inquiries between 10.30am - 8pm, which is 9.5 hours per day x 5 days per week.

The cost of this service is only $750 per month. That's only $3.95 per hour.

So, it wouldn't even be possible to get a basic administrator to manage your inquiries for this little amount.

You'll have a highly trained sales team handling your inquiries for less than a price of a cup of coffee.

How can I check the quality of the calls?

Every phone call is recorded within your system. You can log in at any time and listen to every single phone call. Our Childcare Automation platform also tracks every single conversation across all social media platforms, and we can reply directly to that platform from within the software. That means, you can view the whole conversation with a potential prospect from start to finish.

How quickly do you respond to inquiries?

Our current average response time once an inquiry enters the system is 9 minutes, but our service level agreement states that we will respond to inquiries within 30 minutes of entering your system.

How do you ensure you follow up?

We have an exact step-by-step play book that has been tested across hundreds of clients around the world, where we have identified the most effective follow-up strategy. This is our secret formula, and we can gladly go through this on a Discovery Call.

How do I track if I'm getting a return on my investment?

Our team will provide you with a monthly video recording detailing the activity and progress for each month. If you are already using Childcare Business Growth to manage your marketing, we can liaise directly with your team to ensure they are generating you the maximum number of inquiries into your business on a monthly basis.
